About the Role
The Project Admin Coordinator will be responsible for coordinating and executing all administrative tasks for Along the Coast 2024. This role is essential to the tracking and management of all the event activity, onboarding and offboarding of creative teams and the effective communication. This role will also be the main point of contact for Artists, Traders and Suppliers through the central Piece of Cake email system.
Tasks and Responsibilities
● Tracking all project activity in spreadsheets for Event Leads / Event Manager.
● Track Expenses and Costs via invoice.
● Distributing emails to relevant team members.
● Scheduling, and attending, regular meetings for the entire creative team and recording decisions and next steps.
● Handling sensitive GDPR material.
● Assist the Event Manager with scheduling, travel arrangements and artist riders.
● Act as a point of contact for artists and traders.
● Sourcing items for the event - to be approved and paid for by Event Manager / Event Leads.
Artist / Trader / Volunteer Management
● Issue all legal contracts to Artists / Traders / Suppliers.
● Retrieval of signed contracts and stored in secure POCP cloud drives.
● Retrieval of important information from Artists and Traders including an Equal Opportunities form.
● Main point of contact for the Artists / Management, Traders and Volunteers.
● Retrieval of technical riders and access requirements.
● Ensuring the volunteers and production assistants are clear on their
responsibilities throughout the day of the event.
Reporting
The Project Admin Coordinator will report directly to the Event Manager. This will include meetings, check-ins and email communications on completion of tasks throughout the project.
Requirements
Work experience as a Project Administrator / Coordinator.
Hands-on experience with Excel.
Knowledge of project management software.
Solid organisation and time-management skills.
Used to working in team environments both remotely and on flexible working.
About the Company
Along The Coast (ATC) is a free, non-ticketed outdoor music festival supported by Portsmouth City Council's annual Bandstand season. The Bandstand Season is a cultural landmark within the local community and we will be programming and curating music from local Global Majority (GM) artists as well as hosting local GM-owned traders. The event is a celebration of the region's growing multiculturalism and invites all audiences to be involved.
